Setting up invoices

Get set up for faster sales

Head over to MYOB in a web browser to set up your email defaults. Sign in and go to the settings (⚙️) menu > Sales setting > Email defaults tab.

While you're in the Sales settings, check your payment options on the Payments tab so customers know how they can pay you.

Set up your templates using MYOB in a web browser

Templates control how your invoices and quotes look, and you can have as many templates as you need.

Set them up and make any changes using MYOB in a web browser. Here's the details

Once a template is set up, it'll be selectable in the app when you email or share an invoice or quote.

Set your default payment terms using MYOB in a web browser

You can change the payment terms for this invoice here in the app. But if you want to change the payment terms permanently, you'll need to do it in your MYOB in a web browser.

Creating or editing invoices

You need a customer on each invoice

Choose a customer for the invoice or set them up if they're a new customer. If you don't need to know the customers details, like a quick cash sale, consider setting up a customer called 'Cash Sales' and choose that for the sale.

Discount an item on the invoice

To sell an item for a discounted price, apply the discount when you add the line item to the invoice.

If you need to change the customer on a sale (invoice or quote), create a new sale

Once an invoice or quote is saved, you can't change the customer. Instead, create a new invoice or quote.

Sending invoices

Use only letters, numbers and special characters in text fields

If you're seeing this message but you can't figure out why, it might be because your business name contains special characters (like &, %, $, #, @, commas, emojis, or other symbols).

We're working on a fix for this, but until then you can either:

  • share the invoice via your phone's email app – just view the invoice, tap Share and choose your email app from the options, or

  • remove the special characters from your business name (sign into MYOB in a web browser > go to settings ⚙️ > Business settings > Business details tab).

'Message failed to send' or 'Not Delivered' on iPhones

Some iPhones running iOS 15 or later have a known Apple issue that can block PDF attachments from sending through the Messages app when sending to another mobile device.

If you're impacted by this:

  • try emailing the invoice directly from MYOB Assist instead of sharing it via Messages, or

  • use a chat app, like WhatsApp or Messenger, etc. that supports PDFs.
